Organize meeting rooms including logistics and prepare agendas
Maintain distribution and personnel lists
Coordinate functional processes such as invoicing and payments with outside Vendors
Arrange travel, accommodation, congress registrations and expenses of trips for team
Budget management and tracking of Purchase Orders for the team
Update organizational charts
Participate in department project teams
Independently responds to routine correspondence
Distribute departmental notifications for Congresses
High School Diploma
Profound related experience in administrative support role
Attention to details
Experience using MS Office tools
Fluency in local language and English
Experience in similar or related disciplinary and/or international environment
Basic knowledge of the function/business area supported such as safety, sales, customer service, etc.
Familiarity with terminology of area supported such as Marketing, Medical, Clinical Research, Logistics etc.
Experience with various software/systems such as SAP, Concur etc.
